Customers
Accounts, contacts, leads, opportunities and activities, with list views, a pipeline board, custom fields, sharing, imports and an API.
Customers is an organization's CRM: the companies it sells to, the people there, new leads, the deals in its pipelines and every call, meeting, task and note along the way. Open it at customers.cactive.com.au or from the app switcher.
Access
| Scope | Allows |
|---|---|
crm:read | Open records sharing allows, list views, search, the pipeline and history. |
crm:write | Create records, change and delete those sharing allows, log activities, convert leads, import and export. |
crm:admin | Change Customers settings: objects, fields, validation rules, indexes, pipelines, sharing and role permissions. Sees and changes every record. |
Developers have crm:write, viewers crm:read, admins and owners crm:admin. See Roles and scopes.
Objects
| Object | Holds |
|---|---|
| Accounts | Companies and organizations: type, industry, size, revenue, address. |
| Contacts | People, usually at an account: email, phone, title, mailing address. |
| Leads | People and companies not yet qualified: status, source, rating. |
| Opportunities | Deals: account, primary contact, pipeline, stage, amount, close date, probability. |
| Activities | Tasks, calls, meetings, notes and emails, related to any records. |
Every record has an owner, who created and last changed it and when. Admins can add custom objects with their own fields.
Fields and validation
In Settings → Objects and Fields, admins add fields to any object: text, long text, number, currency, percent, date, date and time, picklist, multi-picklist, checkbox, lookup (to another record), email, phone and URL. A field can be required, and picklist values can be retired without losing the records that use them. Standard fields can be relabelled.
Validation rules refuse a save when a condition holds, with a message on the field: for example, an opportunity closed lost needs a loss reason.
List views
Each object opens on a list: All, Mine and Recently Changed, shared views admins save, and your own. Choose filters, columns and sort, then Save or Save As. Click a cell's pencil to edit it in place. Select rows to change their owner, set a field, or delete them together. Export downloads the view as CSV.
A view's sort and equality filters are served by an index, so it stays fast with millions of records. Saving a view adds the index it needs and builds it in the background; until then it sorts in memory or by last modified. Admins see and remove indexes in Settings → Objects and Fields → Indexes.
Records
A record's page shows its details (edit them with E), the stage path for opportunities, related records (contacts and opportunities of an account, activities of anything), its history of field changes, and the activity timeline. Log a task, call, meeting or note from the panel beside it (L).
Convert a qualified lead into an account (new or existing), a contact (new or existing) and, optionally, an opportunity. Its activities move with it; the lead stays, marked converted.
Pipeline
Opportunities move through the stages of a pipeline, each with a probability and whether it is open, won or lost. Pipeline shows them as a board: drag a deal to another stage or use Move To. Columns show their count and amount. Admins add pipelines (for example, renewals or partnerships) in Settings → Pipelines.
Home shows the open pipeline, its value weighted by probability, what was won this month, won and lost by month, and your open tasks.
Sharing
Settings → Sharing sets each object's default: Private (owners, and people whose role lets them view or change all records), Public Read Only or Public Read/Write. Owners can always see and change their records. Settings → Role Permissions lets developers and viewers view or modify every record of an object. Viewers never change records.
Search
Press ⌘K or / to search names, emails, phone numbers and websites across every object you can see. Words match from their start; the last word as you type it.
Import and export
Import takes a CSV with a header row: columns match fields by name and can be mapped by hand, owners match people by email or name, and lookups match record ids or exact names. Check tests the first rows without writing anything and lists rows that won't import. Large files upload straight to storage and import in the background; follow the progress on the page. Rows with a record id can update those records.
Exports of up to 10,000 rows download straight away; larger ones run in the background and are listed under Import → Recent Imports and Exports.
Mail and Calendar
In Settings → Mail and Calendar, admins can log emails to and from contacts and leads as activities, and meetings with them from Calendar. Both are off until turned on; only messages and events of people in the organization are logged, and only to records whose email matches.

API and MCP
- The Customers API covers objects and fields, records, views, search, pipelines, activities, lead conversion, imports and exports. Keys with
crm:readorcrm:writeact as their maker. - The MCP server has tools to search, list, read, create and update records, log activities and summarize a pipeline. Caity asks before it changes anything.
See Limits for Customers' limits; admins of the platform change most of them in Admin → Limits.
